YOUR INFORMATION
Privacy & your information
The interest form collects your name, email address, chosen interest and any message you provide, along with the time of your enquiry and consent.
Why these details are collected
Your details are stored in the website’s database for Hindi Samaaj to review and respond to your enquiry. The form does not subscribe you to a marketing list or process a payment.
Account registration
When you create an account, we store your name, verified email address, registration date and IP address. We use a database on our server to estimate the country and city associated with that IP for account administration and abuse prevention. These estimates may be inaccurate and are visible only to authorised administrators. Registration IPs are not sent to an external location lookup service.
Provider address suggestions
Provider Setup offers Australian address suggestions from Google Maps. When you type in the address field with suggestions enabled, the search text is sent to Google through our server. Choose “Enter address manually” to stop these lookups. We save the address you submit with your provider details, not the list of suggestions. Google’s Privacy Policy and Google Maps terms apply to the address suggestion service.
Learning and teaching applications
Account holders can submit learning requirements or a teaching application. We store the details you provide to review applications and coordinate suitable learning opportunities. Parents and guardians manage child learner profiles through their own account. Application information is private to the account holder and authorised administrators.
Learning applications include the learner’s name, date of birth, experience, goals, general location and availability. We use the learner’s date of birth to calculate their current age and match appropriate age groups. For child applications, we contact the parent or guardian through their account details. Teaching applications include experience, capabilities and availability. Review status and account notifications are stored; internal review notes are restricted to administrators. Please use a general suburb rather than a home address and do not submit identity documents through these forms.

Who collects your information
Hindi Samaaj Sydney Australia Inc. operates Hindi Australia. Contact us through the enquiry form at /join for privacy questions, access or correction requests, deletion requests or complaints. Please quote your organiser reference and use your registered email. Do not send bank documents, account numbers or identity evidence through the enquiry form.
What we collect and why
For paid-event organiser registration, we collect the legal entity and trading names, ABN, organisation address and contact details, and the authorised representative’s name, role, verified email, mobile and authorisation declaration. We also collect the account holder, bank name, BSB, account number and a bank statement or bank-issued account confirmation. We record declarations, review decisions, verification methods and document-access audit records.
We use these details to assess the organisation, the representative’s identity and authority, and the relationship between the organisation and its nominated bank account; communicate about the application; prevent misuse; and assess eligibility for future paid-event services. An ABN is a platform requirement, not a statement that every organiser is legally required to hold one. Review may include official ABN Lookup records and clarification from you. An upload or declaration does not automatically prove identity, authority or account ownership. Organiser approval does not verify an event or venue booking.
What to upload
Provide only the evidence requested through the private verification form. Bank evidence must show the account holder, bank, BSB and account number. You may redact balances, transactions and unrelated details. The ABN is collected separately and need not appear on the bank document. Never provide banking passwords, PINs or card security codes. Do not upload unrelated identity documents or information about children.
Your choices
You may save an incomplete event draft. Free events do not require bank verification. If required paid-organiser details or evidence are missing, we cannot complete verification or enable paid-event sales eligibility. This registration does not process payments or execute payouts.
Access and storage
Verification details and documents are private. The service encrypts saved organiser details and bank documents, masks saved bank numbers and restricts document access to the account owner and authorised verification reviewers. Access to bank documents and review decisions is audited. Public event information is handled separately. We do not publish bank evidence on event pages. Authorised infrastructure operators may need access to operate and secure the service. The platform server is hosted in Australia. Overseas support personnel do not have access to the server. Contact us through /join for information about the infrastructure handling your information, including backup arrangements.
Retention and deletion
Event drafts expire seven business days after the last successful save (Monday–Friday in Australia/Sydney; public holidays are counted when they fall on a weekday). Cleanup removes abandoned draft information and unreferenced uploads; submitted registrations and evidence still linked to an organiser profile or submission are protected from draft cleanup. Organiser approval lasts 365 days. To renew, confirm or update your details and submit them for admin review. Renewed approval starts another 365-day period. If verification expires, we retain your information but block paid-event eligibility until it is renewed. Only an authorised administrator can delete an organisation’s verification profile and private bank evidence. Deletion is separate from closing the user account: event listings, public event contact information, shared venues and unrelated records remain. Private organisation and bank information saved in event-registration recovery is cleared. Files still referenced by unrelated records are preserved, and failed file cleanup is retried. Deletion removes records from the active service; backup copies follow the backup operator’s retention and restore process, so deletion is not a promise of immediate erasure from every backup. Draft expiry does not delete submitted evidence after seven days.
Access, corrections and concerns
Use /join to request access, correction or deletion, or raise a privacy complaint. We may need to confirm your identity before responding. Changes to identity or bank details require another review. Bank changes require reauthentication and notification to the existing verified contact. We will explain if a request cannot be fulfilled. We will review your concern and communicate with you about the outcome and any further steps available.
